AI call answering and call handling for UK businesses

The receptionist that never
gives an engaged tone.

Up a ladder, mid-treatment, in court, on a viewing: your phone rings exactly when you can’t answer it. fonea picks up in seconds, evenings, weekends and bank holidays included, answers questions, books appointments into your calendar, and puts urgent callers through. Run it on your existing number with a standard call divert, or on the UK number that comes with your account.

What is an AI receptionist for UK businesses?

An AI receptionist handles your UK business calls with a natural voice: it greets callers, answers questions, books appointments into your calendar, and puts urgent calls through, 24/7 including evenings, weekends and bank holidays, from £90 a month.

The UK phone problem

Engaged tones and voicemail are costing you jobs

You’re the receptionist — and you’re on the tools

For a plumber on a loft job, a dentist mid-surgery, or a stylist with a client in the chair, answering the phone means stopping the work that pays. So the call rings out, the caller hears an engaged tone or voicemail, and they ring the next listing. The job goes to whoever picked up.

The first business to answer usually wins the work

UK customers ring after work — you’ve gone home

The boiler quote gets chased at 7 pm, the dental appointment is booked from the sofa, the viewing is requested on Sunday morning. A line that only works 9 to 5, Monday to Friday — and goes dark on bank holiday weekends — quietly filters out the callers with money to spend.

Out-of-hours enquiries go to whoever answers

A receptionist and a per-call handling service both add up

Covering one phone line across opening hours, lunch, holidays and sickness takes more than one salary, far more than most UK trades, practices and agencies can justify. A traditional call handling service moves that cost rather than removing it: you pay per call or per minute, so the month your marketing finally works is also the month with the biggest bill.

One phone line needs more than one person to cover it

What changes

Call handling that behaves like your own front desk

Every call answered in seconds

No engaged tone, no voicemail, no ringing out, and no queue behind another company’s caller. Yours are greeted with your business name within seconds, during surgery hours, on site, and on Boxing Day alike.

Appointments booked while they’re on the line

Connected to Google Calendar or Microsoft 365, fonea sees real-time availability and books the check-up, the quote visit, or the viewing on the spot. No call-back tennis.

Urgent calls put through, the rest summarised

You define what’s urgent — a burst pipe, severe pain, a completion-day problem. Those calls are transferred to your mobile immediately; everything else arrives as a structured summary by email or text.

Five languages, detected automatically

fonea answers naturally in English, German, French, Italian, or Spanish — useful for practices and agencies serving international customers across the UK.

Your UK number

A real UK number, live in hours

01

A UK number comes with the account

Your assistant is set up on its own UK number on the +44 range. It is live once the assistant is configured, so you can ring it yourself and hear exactly how your callers will be handled before anyone else does. Nothing to port, no new contract with a phone provider, no engineer visit.

02

Keep the number your customers already know

The number on your van, your website and your Google listing stays exactly as it is. Your landline, VoIP line or mobile diverts to your fonea number, so callers keep dialling what they always dialled, and the caller’s own number still comes through so you know who to ring back.

03

Choose how much of the call handling you hand over

Divert always, when the line is engaged, or only when nobody picks up: most UK lines take a short code or one setting, and switching it back off takes seconds. Or leave your main line alone and publish the fonea number on its own as an out of hours line. Plenty of businesses start with unanswered calls only and widen it once they have listened back.

04

fonea answers, books, transfers, then writes it up

The assistant greets callers with your business name, answers the questions you get every day, books appointments and puts urgent callers through to your mobile. Afterwards you get the summary: who rang, what they wanted, what was booked or promised, by email or text.

Typical UK call scenarios

How fonea handles real UK calls

Trades — boiler breakdown while you’re on a job

Cliente
Hi, my boiler’s cut out and there’s no hot water — can someone come out today?
fonea
Sorry to hear that — let’s get it sorted. I can book the engineer for this afternoon between 2 and 4, or put you straight through if it’s urgent. Could I take your postcode and a mobile number?

The job lands in your diary with the address captured — instead of going to the next plumber on the search results.

Dental practice — booking from the sofa at 8 pm

Cliente
Evening — I know you’re closed, but I’d like to book a check-up and a hygienist visit, ideally the same morning.
fonea
Of course. I can do both back-to-back on Tuesday the 24th from 9:30 am, or Friday the 27th from 8:15 am. Which suits you? I’ll text you the confirmation.

An out-of-hours caller becomes two booked appointments — no morning voicemail backlog for reception.

Estate agent — viewing request on a Sunday

Cliente
I’ve seen the two-bed flat on Mill Lane online — could I view it this week?
fonea
Certainly. We have viewing slots Wednesday at 5:30 pm and Saturday at 11 am. Which works for you? I’ll take your name and number and send the details across.

A weekend enquiry is qualified and booked before Monday — while competing listings are still on voicemail.

UK GDPR, the ICO and PECR

What actually happens to your callers’ data

Processed under the UK GDPR and the Data Protection Act 2018

UK data protection law went its own way after Brexit, so this page means the UK GDPR and the DPA 2018, not the EU regime. fonea acts as your processor: you get a data processing agreement covering what is processed, why, for how long and with what safeguards, plus encryption in transit and at rest.

The questions the ICO expects you to be able to answer

Where the data is processed: AI processing runs on European infrastructure and persistent data is stored in Switzerland, which the UK recognises as adequate. Who the sub-processors are: named, in writing. How long anything is kept: a retention window you set, with deletion on request so you can honour a caller’s erasure right.

Call recording is your switch, not ours

Storing call recordings is a checkbox in your dashboard settings: a master switch for the business and a second switch per assistant, so you can record the day line and not the out-of-hours one. Recording happens only when both are on, and both are on by default, so switching it off is a deliberate click rather than a support request. Turning it off stops the audio being stored; transcripts and summaries are separate mechanisms and keep working. That matters in the UK because keeping caller audio means telling callers the call is recorded, having a lawful basis for it under UK GDPR and not keeping it longer than you can justify. Whether those duties apply to your calls is yours to determine.

Callers are told it is an assistant, on every call

At the start of every call fonea says it is a digital assistant. The disclosure cannot be switched off, so nobody is left believing they reached a member of your staff and later finds out otherwise.

PECR governs marketing, not answering the phone

PECR sits alongside the UK GDPR and covers electronic marketing: automated marketing calls, texts and cookies. Answering people who ring you is a different activity. fonea is an inbound service and runs no autodialer and no prerecorded marketing campaigns against your customer list, so your PECR obligations stay where they were.

No voice profiles, no biometrics

fonea does not build voiceprints and does not identify callers by their voice. There is no biometric identifier being created, which keeps your callers’ data out of the special-category bracket that a voice-ID system would put it in.

Frequently asked

AI receptionist in the UK — your questions answered

How much does an AI receptionist cost in the UK?

fonea starts at £90 per month and includes 120 minutes of call time, with no per-call fees, no setup fee, and no minimum term — cancel monthly. For comparison, even a part-time human receptionist typically costs well over £1,000 a month in wages alone, and out-of-hours cover from a traditional answering service is billed on top.

Is fonea a call handling service?

It does the job a call handling service does, without the call centre behind it. fonea picks up in seconds, greets callers with your business name, handles the questions you get every day, books appointments into your calendar and puts urgent callers through to you, then sends you a written summary of the call. The two differences a UK buyer notices are the bill and the wait: one flat monthly price instead of a per-call or per-minute rate, and nobody sitting in a queue behind another company’s caller at nine on a Monday morning.

How is this different from a telephone answering service?

A telephone answering service is people taking messages, usually shared across many businesses and charged per call. The message reaches you afterwards, and the caller still has to be rung back. fonea finishes the job on the call itself: it answers your frequently asked questions from your own information, books the appointment against live calendar availability, and transfers the caller straight to you when the reason is urgent. Where it cannot help, it takes a structured message rather than inventing an answer, which is the one thing a good human message-taker also does.

Can fonea replace a virtual PA service?

For the phone side of it, yes. A virtual PA service usually bundles call answering with diary and admin work done by a person. fonea takes the calls: answering, qualifying, booking into your calendar and passing urgent callers through, around the clock, at a flat monthly price rather than an hourly one. What it does not do is the human admin around the edges, so businesses that need someone chasing invoices or drafting letters keep a person for that and hand fonea the phone, which is usually the part that was interrupting the work.

Can fonea give my business a UK phone number?

Yes. Your assistant is set up on its own UK number on the +44 range, live once the assistant is configured, which is usually a matter of hours rather than weeks. Most businesses keep publishing their existing number and divert it to the fonea number so nothing on the van or the website has to change. Others publish the fonea number directly as an out of hours or overflow line. You can start with one approach and move to the other without losing anything.

Does fonea work with my UK phone provider and number?

Yes. fonea works through standard call divert, which every UK provider supports on landlines, VoIP lines, and mobiles. You keep your existing number — there is no porting and no new contract — and you choose whether calls divert always, when busy, or when unanswered. Switching the divert off again takes seconds.

Does it answer out of hours, at weekends and on bank holidays?

Yes, at no extra charge. fonea answers around the clock, every day of the year, including the bank holiday weekends when emergencies happen and human cover is hardest to arrange. Many UK businesses run their own phone in office hours and use fonea as an out of hours call answering service; others divert everything and take the calls back only when they choose to.

Is fonea UK GDPR compliant?

Compliance is something you hold as the controller, so the useful answer is what fonea gives you to hold it with. Calls are processed under the UK GDPR and the Data Protection Act 2018 with a data processing agreement, encryption in transit and at rest, named sub-processors, and retention windows you set with deletion on request. AI processing runs on European infrastructure and persistent data is stored in Switzerland, which the UK recognises as adequate. Callers are told at the start of every call that they are speaking with a digital assistant, no voice profiles are created, and recording is a switch you control. Those are the points the ICO expects you to be able to evidence about any supplier that touches caller data.

Does fonea record calls?

By default, yes. Storing call recordings is governed by two switches, a master for the business and one per assistant, and both are on when you start. Turning either off stops the audio being stored, from the next call, as a checkbox in your dashboard rather than a support request. Transcripts and summaries are separate and keep working either way. While recording is on you are keeping caller audio, so UK expectations apply in full: callers have to be told, you need a lawful basis for keeping it under UK GDPR, and you should not hold it longer than you can justify. If you would rather not hold caller audio at all, switch it off before you go live.

Which UK businesses is it for?

Any business that loses calls because the people who could answer are busy doing the work: trades and home services, dental and other private practices, law firms, estate and letting agents, salons and clinics. fonea is configured with your services, prices, and frequent questions, so it answers like your front desk — not like a generic call centre.

What happens with urgent calls?

You define what counts as urgent for your business — a water leak, severe dental pain, a completion-day issue. When a caller describes one, fonea puts them through to your mobile immediately; if you don’t pick up, it captures the details and flags the message for a priority call-back. Routine calls are booked or summarised instead, so your phone only interrupts you when it should.
