Answering service for small business

The answering service that
answers, not just takes messages.

A traditional answering service writes down a name and a number and hands you a callback list. fonea picks up in seconds, 24/7, answers the caller’s question, books the appointment on your calendar, and transfers the genuinely urgent ones to your cell. Taking a message is the fallback here, not the service.

What is an AI answering service?

An AI answering service answers your business calls with a natural voice, 24 hours a day. Unlike a traditional answering service, it does not just take messages: it answers questions, books appointments on your calendar, and transfers urgent calls instantly.

Where message-taking falls short

A relayed message is still an unanswered call

“Somebody will call you back” loses the customer

A traditional answering service takes the caller’s name and number, and that is where it stops. The caller still does not know your pricing, your availability, or whether you even do the kind of work they need. By the time you call back, plenty of them have already booked with whoever answered the question first. The message got delivered. The customer did not stay.

Every message is a callback loop you still have to run

Per-call pricing punishes your best weeks

Outsourced answering services bill a base fee plus a charge per call or per minute. The week your ads finally work is the week your phone bill spikes, and the math quietly trains you to want fewer calls. A flat monthly price removes that incentive entirely: a hundred-call week and a twenty-call week cost the same.

With per-call billing, growth shows up as a bigger invoice

Your business, read off somebody else’s script

Call center agents juggle dozens of accounts from a one-page brief. They cannot tell a caller whether you handle that specific job, cannot see your calendar, and put people on hold while they hunt for the right script. Callers hear all of it, and the generic answer reflects on your business, not on the call center.

A scripted agent cannot answer a real question

What changes

What a phone answering service should actually do

Answers the question on the first call

fonea knows your hours, your services, your pricing, and the questions your callers actually ask, and it resolves them on the spot instead of promising a callback. The message pad is the fallback, not the default setting.

Books, instead of noting “wants an appointment”

Connected to Google Calendar or Microsoft 365, fonea sees your open slots in real time and books while the caller is still on the line. No callback loop, no double bookings, no sticky notes on a monitor.

Urgent calls reach your cell, the rest reach your inbox

Anything you have defined as urgent is transferred to you immediately. Everything else arrives as a structured summary by email or text: caller, what they wanted, callback number, what was agreed.

English and Spanish on the same number

fonea detects the caller’s language and answers naturally in English, Spanish, German, French, or Italian. One number, no second Spanish line to advertise, no language menu, and no bilingual staffing surcharge.

How to replace your answering service

01

Teach fonea your business

Hours, services, pricing, the ten questions callers always ask, and what counts as urgent. That is the part that lets fonea answer rather than just write things down.

02

Forward your existing number

Standard call forwarding: always, when the line is busy, or when nobody picks up. Every US carrier supports it on landlines, VoIP, and cell phones. No porting, no new number, reversible in seconds.

03

fonea answers, books, transfers

Every call greeted with your business name within seconds. Questions answered, appointments booked, urgent callers put through to you while they are still on the line.

04

You get the summary, not the backlog

After each call: who called, what they wanted, what was answered, booked, or promised, by email or text. Cancel the old answering service whenever you are ready.

Typical call scenarios

Calls a message-taking service cannot finish

Price and availability, answered instead of relayed

Anrufer
Hi, do you work on heat pumps or just furnaces? And what does an annual tune-up run?
fonea
We do both. An annual furnace tune-up is $129 and a heat pump service is $169, and that includes the inspection report. Want me to get you on the schedule? I have Thursday morning open.

A message-taking service would have written down a name and a number. fonea answered the question and turned it into a booking, on the first call.

A customer calling while you are on a job

Anrufer
I’ve tried you twice today. I just need to move my Friday appointment to next week.
fonea
No problem, I can do that right now. Your Friday 2pm is open again, and next week I have Tuesday at 9am or Wednesday at 3:30pm. Which one works better for you?

Rescheduled on the spot, calendar updated, confirmation sent. No busy signal, no “please hold”, no callback that eats your evening.

Genuinely urgent, and genuinely just a message

Anrufer
The alarm system you installed is going off and it won’t reset. I need somebody out here today.
fonea
Understood, that counts as urgent, so I’m putting you through now. If nobody picks up, I’ll take your address and the details and flag it for an immediate callback.

fonea separates urgent from routine on the call itself: urgent callers are transferred live, everything else becomes a clean, structured message.

Disclosure, recording, and your caller data

What happens on the call, and what happens to it afterwards

Callers are told it is an assistant, every time

fonea says at the start of every call that it is a digital assistant, and that disclosure cannot be switched off. You are never asking your customers to figure it out for themselves. fonea also only answers your line: it does not dial out, run prerecorded outbound campaigns, or work a call list, which is the activity the TCPA is written around.

Recording is your checkbox, not the vendor’s policy

An outsourced call center records under its own policy and you rarely see the tape. Here, storing call recordings is a checkbox in your dashboard: a master switch for the business and a second one per assistant, so you can record one line and not another. Both are on by default and recording happens only when both are on, so switching it off is one click, not a support ticket. It stops the audio being stored; transcripts and summaries are separate and keep running. That switch matters in the US because recording consent is state law: most states require one party to consent, while California, Florida, Illinois, Pennsylvania, Washington and others require every party on the line. Which rule your calls fall under is yours to determine.

No voiceprints of your callers

fonea does not create a voice profile and does not identify anyone by their voice. Calls are transcribed and the transcripts encrypted, and no biometric identifier is generated at any point. That is a design decision rather than a toggle, and it is the specific thing Illinois biometric privacy law (BIPA) is written around.

Your customer data stays yours

Transcripts are encrypted in transit and at rest and deleted on the schedule you set, so caller details do not accumulate indefinitely in a system you do not control. Those retention controls are what you need when a California resident exercises access or deletion rights under the CCPA and CPRA. AI processing runs on European infrastructure, persistent data is stored in Switzerland, and your calls are never training material for somebody else’s model.

Frequently asked

Telephone answering service questions, answered

How much does an answering service cost?

fonea is $90 a month with 120 minutes of talk time included, with no per-call or per-minute charges, no setup fee, and no annual contract, so you can cancel monthly. Traditional services quote a base rate plus a price per call or per minute, which is why the phone answering service cost you were quoted and the invoice you actually get can look so different in a busy month. A part-time human receptionist runs well over $2,000 a month in wages alone, before you cover evenings and weekends.

Is this a good answering service for a small business?

That is the case it was built for. A small business answering service has to work without a receptionist, without a script writer, and without a contract that assumes a call center. fonea is set up within 24 hours from what you already know about your business, costs the same flat rate whether you take twenty calls a month or two hundred, and has no minimum term. For a one-truck operation or a five-person office the realistic alternative is voicemail, and voicemail loses to whoever picked up.

How is this different from a live answering service?

A live answering service puts a human on your line, usually shared across dozens of accounts and billed per call or per minute. That human is real, and they are also working from a one-page brief about your business. fonea answers every call instantly instead of after a queue, knows your hours, services, and pricing well enough to answer rather than relay, books straight onto your calendar, and does not charge more for a 2am call than a 2pm one. The trade-off is judgment: fonea handles your common calls and transfers the ones you told it to transfer.

Does it just take messages?

No, and that is the whole point. Message-taking is the floor, not the ceiling. fonea is set up with your hours, services, pricing, and frequent questions, so most routine calls get resolved on the spot: questions answered, appointments booked, reschedules handled. When a call genuinely needs a person, fonea either transfers it to you immediately or takes a structured message with name, number, and the actual concern.

Do I keep my phone number?

Yes. fonea works through standard call forwarding on the line you already have, which every US carrier supports on landlines, VoIP lines, and cell phones. You choose whether calls forward always, only when the line is busy, or only when nobody picks up. Your advertised number never changes, there is no porting, and you can switch forwarding back off in seconds.

Are callers told they are talking to AI, and can I turn call recording off?

Callers are told at the start of every call that they are speaking with a digital assistant, and that disclosure cannot be turned off. Call recording is a different question, and the answer is yes: storing call recordings is a checkbox in your dashboard settings, with a business-wide master switch and a second switch per assistant, so you can record one line and not another. Recordings are stored only when both are on, and both are on by default, so switching it off is a deliberate change you make rather than something you have to request. Turning off recording stops the audio being stored; transcripts and call summaries are separate mechanisms and keep working. Recording consent in the US is state law, and states including California, Florida, Illinois, Pennsylvania and Washington require every party to consent rather than just one, so whether that duty applies to your calls is for you and your counsel to determine. fonea gives you the switch and creates no voiceprints anywhere.

What happens when the AI cannot answer a question?

fonea does not improvise an answer it does not have. It either transfers the call to you, instantly for anything you have defined as urgent, or takes a structured message with the caller’s name, number, and concern and sends it by email or text, so you call back with full context instead of three words on a sticky note.

Is this the same as a phone answering service or a telephone answering service?

It is the same job, answering your business calls, done by software instead of a call center. People search for it as an answering service, a phone answering service, a telephone answering service, or a call answering service, and every one of those phrases describes the same need: somebody picks up when you cannot. The difference here is that fonea answers instantly on every call rather than queueing behind another company’s caller, works nights and weekends without a surcharge, and gives your customer a real answer instead of taking a message.
